Project Setup

During this phase the project is authorized and overall parameters are defined and communicated to the main project stakeholders. A detailed plan is developed that guides the project.

The presenter will:

  • Co-plan and manage project time well with the artist, including any necessary re-scheduling or cancellations.
  • Provide the artists with all necessary project-related details such as schedule, availability, procedures, facilities, location, facility emergency plans, fire drill procedures, rules and health and safety regulations.
  • Prepare an Artists’s Project Agreement between artist(s) and the Project Lead that outlines the project deliverables, timeline, artist fees and other such details.
  • Provide contact list, especially if the artist is working in multiple locations/with multiple groups.
  • Share successful project management strategies with the artist.
  • Establish appropriate work and storage space for the project, and ensure that they are reserved and secured in advance.
  • Discuss material and equipment requirements related to the project.
  • Establish “start” and “stop times” ensuring that sessions are uninterrupted.
  • Establish procedures for communicating absences or  to schedule changes with the artist.

The artist will:

  • Introduce yourself to the stakeholders before you actually begin the project, either by presenting your work, having an informal get-together, gathering or viewing your work on-line.
